A structured review of a major Australian university’s campus security procedures and operations workbook gave control room and patrol officers clearer, more consistent procedures that are easier to use in the field.
THE CHALLENGE
A major Australian university relies on its security workbook as the core reference for daily security operations across its campuses. The workbook is a suite of sub-documents that guide the duties, procedures and protocols of security officers working in the control room and on mobile patrol. Over time, its content had evolved without a formal governance process for updates. Parts of the documentation had become outdated, inconsistent or duplicated, task descriptions varied, escalation protocols were unclear and some procedural steps were redundant. In a large, open campus environment, where officers need to respond quickly and consistently across shifts, this created avoidable ambiguity. The university wanted the workbook brought into line with current practice and made easier to use.
OUR APPROACH
Agilient carried out a detailed review of the workbook’s content and structure, identifying where documentation was outdated, inconsistent or duplicative and where procedural clarity could be strengthened. The review covered the full scope of campus security operations. This included control room protocols for CCTV operation, alarm monitoring, incident triage and emergency communications, and mobile patrol procedures for area coverage, response expectations and reporting. It also addressed incident management and escalation, access control and key issue procedures, emergency response and lockdown, engagement with students and staff, including de-escalation and managing vulnerable individuals, shift handover and lost property. Agilient then restructured the workbook into a clear hierarchy of policies, procedures and task-specific instructions. The updated workbook was designed to be practical to reference in the field and able to accommodate future changes in security technology, staffing or campus operations.
THE OUTCOME
The university now has a clearer, better-structured security workbook that supports consistent practice across shifts and teams.
